iPhone with MS Outlook and POP3 Email Accounts

POP3 is sort of the "old school" way of running an email account, apparently. But my email address that I've used for years is POP3, basically because my ISP uses POP3 email.

I have a PC at my house that runs MS Outlook and grabs my mail messages from my POP3 account and pulls them down into Outlook where I store them. This has worked fairly well for me up to this point.

But now, when I configure my iPhone to read the POP3 email account, I'm having a problem because Outlook tries to read my email account while the iPhone is trying to read my email account and they're fighting over the email box, essentially. The error message I get in MS Outlook is:

Task - 'Receiving' reported error (0x8004210E) : 'Your mailbox is temporarily unavailable because another e-mail message is being delivered to it or another mail application is accessing it. The server responded: -ERR mailbox locked by another client, please wait'

I think that I like this solution to the problem:

Create a new POP3 email account expressly for the iPhone - only the iPhone accesses that mailbox; the PC never does. I configured the first mailbox to forward all messages to this second one. iPhone is configured to fetch the contents from this mailbox every 15 minutes (best it can do with POP3 apparently).

This explains how to configure Outlook to forward email:

"In Outlook, you can use the Rules and Alerts command or the Out of Office Assistant to automatically forward incoming email to another email address. This approach can be used to forward internally to another Exchange mailbox or to an external address."

Forward without notification

You should use this method if you do not want people sending you email to be aware that your mail is being forwarded, nor that you have an alternate email address.

To set forwarding without notification:
1. In the Outlook Inbox, click on Tools | Rules and Alerts to display the Rules and Alerts dialog box. If a window appears asking whether to keep "Client" rules or "Server" rules, click on the Server button.
2. In the Rules Wizard dialog box, click on the New Rule button to display the first step in the rule creation wizard.

3. Click in the Start from a blank rule box, make sure that the Check messages when they arrive option is selected and click on the Next button. The second step in the rule creation wizard will be displayed. This step lets you set conditions.
4. For the rule to apply to all incoming messages, make sure that none of the conditions are ticked and click on the Next button. A warning message will be displayed.
5. Click on the Yes button to confirm that you want the rule to be applied to all incoming email. The third step in the rule creation wizard will be displayed. This step lets you set actions.
6. In the list of actions, tick 'redirect it to people or distribution list'. (Do not tick "forward it to people or distribution list" as this option is a client only action and requires Outlook to be running for it to work.) The redirect statement will be added to the rule description area.

Note: this is where I fall off the wagon. I don't have the option 'redirect it to people or distribution list'. Apparently, it's because I'm not running Exchange Server, but there may be an add-in that I can purchase to solve this problem, possibly. This is now known as Email Redirect, a feature of MAPILab Toolbox.

So, I downloaded and installed a trial version of MAPILab Toolbox with Outlook still running. Then, I closed and re-opened Outlook. At this point, it did a little install routine and notified me that my new MAPILab features would work for 30 days.

"After installing MAPILab Toolbox it is necessary to make sure that the Email Redirect component is enabled. You should verify that the component is checked in the settings of MAPILab Toolbox (Tools > MAPILab Toolbox > Options). "

I checked the box for Email Redirect, then clicked OK.

Then, back through the previous Rules Wizard steps, but still no dice. I don't see the 'redirect it to people or distribution list' option in the Rules Wizard.

So, I tried redirecting some emails using the new redirect button via MAPILab, and I got it to forward an email or two, and set up my iPhone to receive the new email address, and it did resolve the conflicts of having two apps trying to access the same emailbox. But my forward comes in looking pretty crappy, unfortunately. So, I've got to try something different here....this looks promising:

Hmm. I'm trying to get something working with IMAP now. This looks better:

So, I created a new gmail account and enabled MAPI in gmail. Then, I set up Outlook to read the gmail account. Why? I'm not clear. But I did. OK.

Now I got it figured out. Part of it anyway. What I should have done is this...follow these directions, sort of. But their directions weren't terribly clear. Try this instead:

From the Outlook menu, go to Tools > Rules and Alerts.

  • Click on the New Rule button.
  • Select "Start from a blank rule"
  • Click Next.
  • Step 1: Select "through the specified account".
  • Below Step 1, click on the underlined word "specified" in the Step 2 box and select your regular (old) email address.
  • Click OK.
  • Click Next.
  • Now, select "forward it to people or distribution list"
  • Below Step 1, click on the underlined words people or distribution list in the Step 2 box and select your new (IMAP) email address.
  • Click OK.
  • Click Next.
  • Click Next.
  • Click Finish.

So, this will make it to where your emails are now forwarded to your gmail account from Outlook, for whatever that's worth.

Now, I'm going to try to configure my iPhone to read my gmail account:

Then, I looked at some recommended IMAP settings, but I'm not clear that I understand them.

So, in a nutshell, what I've done so far is this:
1) created a new Gmail account.
2) configured the new Gmail account to use IMAP.
3) configured my Outlook account to forward my email to the new Gmail account
4) configured my iPhone 3GS to read the new Gmail account

So, this is all working. (Hold the applause). But now I want to get a little tricky because I want to try to get ride of some of the problems associated with using a 2nd email address, if possible.

Change Reply Address in Gmail

In Gmail, go to "Settings - Accounts and Import - Send Mail As" and click "Send mail from another address".
Put in your alternate email address.
Click Next Step.
Click Next Step.
Click Send Verification.
Open your alternate email box and open the verification email.
Click on the link in your verification email.
You should see the message: "Confirmation Success! You may now send mail as whatever@gmail.com."

In Gmail, go back to "Settings - Accounts and Import - Send Mail As" and click "make default" next to the alternate email address.
Just below this, it says "When receiving a message:", select either "Reply from the same address the message was sent to" or "Always reply from default address (currently whatever@gmail.com)".

So, I'm getting closer. What I've done so far is this:
1) created a new Gmail account.
2) configured the new Gmail account to use IMAP.
3) configured my Outlook account to forward my email to the new Gmail account
4) configured my iPhone 3GS to read the new Gmail account
5) configured Gmail to reply as my old email address.

But I'm still having some issues. Because I'm forwarding the emails instead of redirecting them from outlook, when I hit "Reply" on my iPhone, the reply goes to my other email address. Not what I want, obviously. The solution, I think, is that I need to make Outlook "Redirect" my emails to my gmail account instead of forwarding them to my gmail account.

How to Redirect an Email in Outlook

To redirect a message in Outlook:

* Open the desired email in its own window.
* Click Other Actions in the toolbar.
* Select Resend This Message... from the menu.
* Click Yes.
* Enter the desired recipients in the To..., Cc... or Bcc... line.
* Click Send.

For the record, this actually worked. My gmail account got the email so that it looked like it came straight to the gmail account (it was redirected, as I'd hoped) and when I hit reply, it went back to the originator, it sent an email, although for some reason, it used the gmail address, which sucks. [Update: Eventually, I got this to work by going into the iPhone Settings and changing the "Address" and "Description" to be my non-gmail email account.]

Of course, this was just for one email. The trick now is to get a Rule set up in Outlook that redirects all emails to my iPhone.

I was never able to figure out how to configure Outlook to Redirect emails properly. Even using the stupid MAPILab software - they say that it has to run on both PC's - so I'm not clear that it will work.

I'm trying to figure out if Email Redirect can be used to redirect emails coming into Outlook 2003 to a Gmail account. I downloaded and installed the trial version, but could not get this to work properly. I see that the notes say it has to be run on both computers. Does that mean that this is not possible? (That the redirect won't work for a Gmail account)?

Then, I decided to see if I could find a script to force Outlook to do something meaningful like Redirect email.

The problem with the palm pre was that I didn't get good cell service at my house.

Hi i am looking at getting an iphone and was wondering if i am able to get my work e-mails which i veiw through MS outlook also forwarded to my iphone
